A clinic owner in South Florida called me absolutely furious. He was one of those guys who had the biggest physical office on the block, but the digital front desk was falling apart. His main pain point wasn't just scheduling—it was the basic stuff: medication refills. When people called after 5 PM, needing a quick refill authorization, they got voicemail. They hung up, frustrated, and sometimes they went straight to a different doctor or clinic entirely. This is the usual story. The clinic is amazing, the doctors are brilliant, but the human front desk staff are only available 9 AM to 5 PM. The rest of the time, especially when patients call about a critical need like a refill, the clinic loses revenue and, worse, loses trust. We worked with a busy medical clinic in Fort Lauderdale. Their data was telling a painful story: they estimated missing an average of 15-20 patients a month simply because the after-hours process was broken. They were relying on a human nurse or staff member to manually check requests, which was impossible to scale.

The Problem
What we built is not answering service. It’s a full AI triage system connected directly to their EHR and their internal protocols. When a patient calls about a refill at 9 PM, the AI doesn't just take a message. It uses natural language processing to capture the details, verify the patient identity, and, if all protocols are met, it automatically initiates the request workflow, notifying the proper provider in the morning and logging the full conversation.
